Chief Operations Officer / Operations Manager

Job title: Chief Operations Officer (COO) / Operations Manager
Department: Operations / Executive Leadership
Reports to: Chief Executive Officer (CEO) / Board of Directors
Work mode: Fully virtual / remote
Employment type: Part-time / full-time (as applicable)
Classification: Senior management / leadership

Role summary
The Chief Operations Officer (COO) / Operations Manager is responsible for ensuring that the organisation’s daily activities run smoothly and effectively in a fully virtual environment. This role is primarily centred on social media management, internal coordination, and keeping the organisation’s online presence active, consistent, and impactful. The ideal candidate does not need formal academic qualifications or prior experience: what matters most is a genuine desire to contribute, a willingness to learn, and the dedication to show up and get things done.

Key responsibilities
A. Daily operations oversight

• Ensure the organisation’s daily virtual activities are on track and progressing as planned.
• Follow up with team members and volunteers to confirm tasks are being completed on time.
• Flag delays, gaps, or issues to leadership and help find quick, practical solutions.
• Keep internal records, shared documents, and team communication channels organised and up to date.

  1. Social media management
    • Manage and maintain the organisation’s social media accounts (e.g., Facebook, Instagram, X/Twitter, LinkedIn, TikTok, WhatsApp).
    • Plan and schedule regular, engaging content that reflects the organisation’s mission and voice.
    • Respond to comments, messages, and community interactions in a timely and professional manner.
    • Monitor post performance, page growth, and audience engagement, and share simple feedback with the team.
    • Collaborate with content creators, designers, and program leads to produce relevant posts and campaigns.
    • Stay updated on trending topics, relevant hashtags, and best practices in social media to boost visibility.
  2. Team coordination and communication
    • Coordinate virtual meetings, send reminders, and ensure team members have what they need to carry out their roles.
    • Serve as a communication bridge between different teams or units within the organisation.
    • Help onboard new volunteers or team members and make them feel welcomed and informed.
    • Assist in drafting internal communications, announcements, and updates as needed.
  3. Monitoring and reporting
    • Track the progress of ongoing activities and provide brief updates to leadership on a regular basis.
    • Assist in preparing simple reports or summaries on operational and social media performance.
    • Help ensure the organisation meets its communication goals and deadlines.

Added advantage (not required)
The following are not requirements but will strengthen your application:
• Previous experience in a social media, content creation, or community management role.
• Familiarity with tools such as Canva, Buffer, Hootsuite, Google Workspace, or similar platforms.
• Experience in a volunteer, student leadership, or organisational management capacity.
• Knowledge of the organisation’s thematic area (health, youth development, etc.).
